Artistic Office Assistant

Manhattan Theatre Club (MTC), a Tony Award-winning nonprofit theatre dedicated to the production of contemporary plays and musicals, seeks a full time Artistic Office Assistant.  For over fifty years, MTC has been the creative and artistic home for America’s most gifted theatrical artists, producing works of the highest quality by American and international playwrights.  We are strongly committed to producing work that is made by, and tells the stories of, a wide range of voices from all walks of life and to making that work accessible to all audiences including those that have historically lacked access to the arts and cultural sector. MTC produces up to eight plays annually in Broadway’s restored Samuel J. Friedman Theatre on West 47th Street and Off-Broadway at the historic NY City Center complex on West 55th Street.

The Artistic Office Assistant supports; the Artistic Director, Director of Artistic Operations and Communication, and the Manager, Office of the Artistic Director / Artistic Associate. The Artistic Office Assistant interacts regularly with all departments in the organization and will have extensive contact with artists and other members of the industry.

The Artistic Office Assistant is responsible for assisting in day-to-day administrative activities in the Artistic Office including, but not limited to, managing phone calls, fielding inquiries, scheduling meetings, drafting correspondence, making travel and theatre ticket arrangements, research projects, maintaining artistic databases and archives, occasionally taking notes for the Artistic Director at previews, running errands, compiling expenses, and providing support for special projects including the artistic content of special events. The Artistic Office Assistant will serve as a coordinator and liaison for many artist appearances at MTC events.

Excellent interpersonal, organizational, written and verbal communication skills, as well as absolute attention to detail and the ability to think proactively and stay on top of multiple shifting priorities are essential.  Also required are a good sense of humor and the ability to thrive while working under pressure in a fast-paced environment, where no two days are the same.

Previous office or industry experience is required. Comprehensive knowledge of MS Word, Excel and Outlook is a plus.

This is a full-time, salaried position paying $42,000-$46,000 annually with full benefits package including: group health insurance with options for spousal, family and/or domestic partner coverage, voluntary dental coverage, basic life and long term disability insurance, paid time off and optional 401(K) and flex savings plans for healthcare, dependent care and commuting expenses.

Development Communications Manager

Reporting to the Director of Development Operations and Strategy, the Development Communication Manager leads the content creation and execution of all Manhattan Theatre Club donor communication (emails, mailings, invitations, and brochures); serves as the Development copywriter and designer; and champions the overall voice/brand of the department.

Responsibilities:

  • Develop and implement communication strategies and tactics to achieve MTC’s fundraising income and growth objectives. This combines multiple channels, including email, direct mail and print, into a cohesive yearly development communications campaign.
  • Develop and/or manage content, production, and distribution for individual fundraising (both membership and philanthropy-focused campaigns), as well as for events and other Development team initiatives, ensuring a clear and common voice and identity across all team communications.
  • Oversee day-to-day management of communications calendar via Basecamp, support processes, and internal operations, and provide training and guidance on communications initiatives to Development staff.
  • Manage the internal Communication approval process, liaising with Development, Artistic, and Marketing teams, as needed.
  • Serve as the Development team’s main copywriter and in-house designer to create copy, graphics, videos, and other print communication pieces.
  • Proofread and copy edit a wide variety of departmental materials and communications in order to ensure utmost accuracy and consistency.
  • Collaborate internally as well as with outside vendors to produce digital and print materials, craft clear and persuasive fundraising copy, and develop email templates and other content, including dynamic content.
  • Work collaboratively across the organization to ensure all communications are meeting MTC’s visual identity and style guidelines, making adjustments and enhancements where necessary.
  • Administer and update the MTC development website pages, keeping all content up-to-date and engaging, brainstorming and executing strategic ways to use the websites, and addressing back-end issues that affect website functionality.
  • Oversee relationship with Mail House, external designers, and liaising with outside vendors when necessary.
  • Represent MTC at special events as needed.
  • Perform additional duties and responsibilities as needed.

Requirements:

  • Minimum 3–5 years of experience in communications, fundraising, and/or marketing and sales.
  • Experience working in a performing arts organization or the cultural sector.
  • A working knowledge of Tessitura, Basecamp, WordFly, Microsoft Office, the New York City theatre community and non-profit structures a plus.
  • Proficient in content management and email marketing systems, and familiarity with design software.
  • Ability to think strategically about communications.
  • Excellent oral, written communication and organizational skills.
  • Superior attention to detail and critical thinking abilities.
  • Up-to-date with the latest trends and best practices in online marketing and measurement.
  • Some evenings and weekend hours required.

Major Gifts Officer

Reporting to the Director of Individual Giving,  the Major Gifts Officer is a member of MTC’s frontline fundraising team and is responsible for the identification, cultivation and solicitation of gifts of $25,000 and above from donors and prospects, and managing the Artistic Director Circle and Salon programs.

 

Responsibilities:

  • Independently manage the identification, cultivation and solicitation process for a portfolio of approximately 150 Major Gift prospects.
  • Conduct a minimum of 100 prospect meetings annually, with responsibility for managing communications and follow-up, including maintaining detailed activity reports and move management information on all prospects in the portfolio.
  • Serve as an integral team leader and will work as a department liaison for the Artistic Director’s Circle Membership Program, comprising donors at the $12,500–$25,000 membership levels.
    • Lead ADC cultivation, solicitation, and stewardship efforts
    • Ownership of ADC events, including the newly launched Artistic Director Salon series, finding hosts, dates, work with special events team on logistics
    • ADC Acquisition and pipeline development
  • Spearhead Planned Giving Program, helping to identify consultant and/or marketing partner, and coordinating Society benefits.
  • Work collaboratively with the Director of Individual Giving to ensure that outreach across the office to donors and prospects is coordinated and effective. Assist the Director with special fundraising strategy projects as needed.
  • Participate in major gift meetings to coordinate the major gift program, as well as prospect review meetings to discuss specific prospect strategies as they relate to prioritized fundraising needs.
  • Represent MTC at special events, including Opening Nights, ADC Events and Salons, Patron Nights, Winter Benefit, Spring Gala, and others as needed.
  • Promote positive donor relations and stewardship.
  • Evaluate various gift opportunities and giving vehicles; recommend the most suitable for a particular donor.
  • Perform additional duties and responsibilities as needed.

 

Requirements:

  • Minimum of 5 years of fundraising experience or equivalent sales experience.
  • A strong track record of fundraising, including major ($10K+) and mid-level ($5K+) gifts.
  • Experience working in a performing arts organization or the cultural sector a plus.
  • Ability to handle a multitude of tasks under deadline pressures and have the ability to work in a high-volume, high-demand (but highly collaborative, supportive, team-oriented) office.
  • Ability to be creative, enterprising, persuasive, and tactful.
  • Excellent oral and written communication and interpersonal skills required.
  • Some evenings and weekend hours required.

Manhattan Theatre Club offers an exciting 2-year fellowship in partnership with The Drama League.

 

THE DRAMA LEAGUE STAGE DIRECTING FELLOWSHIP is a two-year experience for early-career stage directors, supported by an unprecedented $100,000 scholarship prize per recipient ($50,000 per year), up to $10,000 in health care insurance reimbursement ($5,000 per year) from The Drama League. The fellowship will offer a wide range of unparalleled opportunities at Manhattan Theatre Club, the Drama League’s Theater Center in New York City, and many other additional career-building activities.

CAN WE GET TO KNOW YOU?

Assistant Director (AD’s) generally begin work on the first day of rehearsal and will work full-time on that show until its opening night—roughly two months from start to finish, though this varies.  Duties vary widely based on their personal strengths and the director they are paired with, but may include observership, dramaturgy, note-taking, and general rehearsal room support. All AD’s are asked to lead talkbacks after select previews.

MTC often participates in the Stage Directors and Choreographers Foundation Observership Program. This program allows early and mid-career directors the opportunity to observe the work of master directors and choreographers as they create new productions on Broadway, Off-Broadway and at leading regional theatres. 2024-25 Stage Management Fellowship

Manhattan Theatre Club (MTC), a Tony Award-winning nonprofit theatre dedicated to producing innovative theatre of the highest quality by American and international playwrights, with a focus on presenting New York, American, and world premieres, invites individuals from historically underrepresented communities in the theatre workforce to apply for the 2024-25 Stage Management Fellowship. For over 50 years, MTC has been the creative and artistic home for America’s most gifted theatrical artists, producing works of the highest quality by contemporary American and international playwrights. The Stage Management Fellowship is a six-month intensive professional development opportunity for early-career professionals belonging to communities underrepresented in the theatre workforce who have theatrical stage management experience and training.  The Fellow will be supervised by MTC’s Production Management team, and primarily will serve as a Production Assistant on three productions during the 2024-25 season: Eureka Day by Jonathan Spector and directed by Anna D. Shapiro; Dakar 2000 by Rajiv Joseph and directed by May Adrales; and, Stephen Sondheim’s Old Friends devised by Cameron Mackintosh with musical staging and direction by Matthew Bourne and choreography by Stephen Mear.

The Fellow’s on-the-job training responsibilities will include:

  • Supporting the stage management team from pre-production week through at least opening night
  • Generating show-related paperwork
  • Working with the stage management team to track props, costumes, and scene changes
  • Gaining experience in production management and working in a producing organization when not engaged in rehearsals or performances

The ideal candidate will have strong communication skills, a sharp eye for detail, exceptional organizational skills, and the ability to coordinate and prioritize.  A strong working knowledge of theatrical production procedures and practices and strong computer skills, especially proficiency with Microsoft Office, are required.  Theatrical production experience is also required. Experience working in a union employment environment and familiarity with Actors Equity Association agreements is a plus.  Evening, weekend and early morning hours will be required. Occasional physically demanding work, such as lifting and moving equipment, will be required.

This is a full-time non-exempt position beginning on or around October 15, 2024 and concluding on or around April 8, 2025. Compensation is $660.00 per week with benefits package including: choice between two group health plans with options for spousal, family and/or domestic partner coverage; basic life and long term disability insurance; paid time off; voluntary dental, vision and flex savings plans for healthcare, dependent care and commuting expenses.
